Lease administrator - Montréal
Full-Time Regular Position
Based in Montréal, the Lease Administrator ensures the completeness, integrity, accuracy, and quality of information related to executed lease agreements within the designated property portfolio and properly applies lease management/administration procedures.
- Ensures the completeness, integrity, accuracy, and quality of information related to executed lease agreements within the designated property portfolio, and correctly applies lease management/administration procedures.
- Enters information for leases and subleases from start to finish, including underlying clauses (special clauses and exemptions) in reference to official legal documents and according to the current procedures. This includes entering tenant information (contact details, payment methods, etc.).
- Conducts preliminary interpretation of lease clauses and drafts lease summaries.
- Applies appropriate procedures during ETL transfers for the acquisition of new properties.
- Configures parameters and automated calculations related to leases (rent increases, indexing, rates, proportional rent, tenant improvement allowances, recoverable costs, security deposits/prepaid rents, adjustments related to rent roll statements, termination conditions, charge codes, etc., including initial setup and subsequent adjustments for space measurements). Updates rates associated with annual increases in additional rent (CAM, PROMO, property taxes) based on information received from Property Management Accountants.
- Validates billing for real estate brokers.
- Adjusts space measurements and occupancy rates in the financial system based on updates provided by measurement certificates, and conducts periodic denominator analysis if needed.
- Produces lease management reports and analyses (occupancy, space measurements, temporary leases, tenant movements, etc.) while considering inputs provided by property managers.
- Monitors critical lease dates (conditions, deadlines, renewals, assignments, etc.) and updates the system accordingly.
- Coordinates the management of temporary leases in collaboration with property managers.
- Collaborates with the real estate accounting, legal affairs, and leasing management teams (ASGAARD).
- Oversees document management (nomenclature, document retention including possession letters, file management, and organization of digital directories).
